The New General Data Protection Regulations

From the 25th May 2018 The new GDPR comes into force and our new ‘Privacy Notice’ which affects Potential Customers, Customers, Suppliers and Financial Transactions are as follows:

QUOTATIONS and CUSTOMER REQUESTS for PRICING

We hold details about you, the client or potential client because you gave it to us to enable us to provide an estimate or quotation for you. We hold the basic detail which includes your surname, post code and some basic details about your heating system on a secure PC. in the course of time we delete this information unless you instruct us to do the work: in which case the Quotation Invoice and certificate are securely stored for the minimum period of seven years as required by law. You have a right to ask us what details we have about you and ask us to destroy or remove any information which we are not legally required to retain.

We do not share your information with any other Organisation, Company or Data Controller unless we ask you for your permission. As an example, this may include water testing etc.

INVOICES and CERTIFICATES

We hold your Certificate and invoice for a minimum period of seven years as required by HMR&C and you are entitled under the new GDPR to request what information we hold and ask us to destroy that information after the statutory period has ended. We may also contact you to by post or email to inform you that your Guarantee period is ending.

PRUDUCT AND SERVICE PROVIDERS

We will hold your COSHH, invoices and quotations because you gave them to us and for the legal minimum period under HMR&C rules. You are entitled to request what information we have about you and ask us to destroy or delete this information after the minimum legal period has ended.

CREDIT & DEBIT CARD TRANSACTIONS

This information is already strictly controlled. We hold the supplier copy of any Credit or Debit Card Transaction which only shows the last four digits of your card for the minimum period after which they are securely destroyed. Bacs transaction show on our bank statements and are retained for at least the minimum period required by HMR&C.
